What we collect
When you ask us for a quote, through our website form, by phone or by email, we collect the details you give us. This usually includes your name, phone number, email address, the service you need, the size and location of the property, when you need the work done, and any notes you add about access or the job. If you call us, your call may be answered by a call answering service acting on our behalf, who take the same details and pass them to us. We do not use tracking or advertising cookies on our website.
Why we collect it
We use your details to respond to your enquiry and prepare your quote, which we do as a step taken at your request before any contract is agreed; to arrange and carry out the work if you decide to go ahead, which we do to perform our contract with you; and to contact you about your enquiry or booking, on the basis of our legitimate interest in following up requests people have made to us.
Who we share it with
To carry out a clean, we pass the details needed for the job to the self-employed cleaner assigned to it. They use this only to do the work for us. We also use service providers who handle data on our behalf: Cloudflare, which hosts our website (United States); Web3Forms, which delivers your form submission to our inbox (United States); and Zoho Mail, which provides our business email (European Union). Where a provider is outside the United Kingdom, they operate under safeguards consistent with UK data protection law. We never sell your data, and we never share it for anyone else's marketing.
How long we keep it
If your enquiry does not lead to a booking, we keep your details for up to 12 months from your last contact with us, then delete them. If you book a job, we keep the records for as long as we need them to provide the service and to meet our legal and accounting obligations.
Your rights
Under UK data protection law you can ask us to give you a copy of your data, correct it, delete it, restrict how we use it, or object to our use of it. You can also complain to the Information Commissioner's Office at ico.org.uk. To exercise any of these rights, email info@oakfortservices.co.uk.
